Switzerland: Documenting Learning Agreement changes with both universities when an approved exchange course disappears

Arrival can reveal that an approved course is unavailable, taught in another language or incompatible with the timetable. Registering for a replacement does not automatically amend the Learning Agreement. Keep both institutions’ approval, module content and change date together so later credit assessment uses a consistent academic record.

Apply the local route to your case

Which approvals must I obtain from both institutions, and by when, before replacing an unavailable module? Switzerland has no centralised university admission procedure; each university sets its criteria. Bachelor’s entry generally requires a Swiss-Matura-equivalent school certificate, while master’s entry requires a relevant degree from an accredited university. Match your qualification, target programme and document checklist in one application plan. Before paying for translations or authentication, obtain written confirmation from admissions of the required procedure; academic admission does not replace immigration permission or professional licensing. Treat missing-document requests and conditional offers as separate tasks. Record which office wants each document, the permitted format and the final submission channel. A portal registration alone is not the final admission decision.

  • Use swissuniversities to identify the responsible service and the rules for your actual student category.
  • Match the programme level, prior qualification, language certificate and missing-document submission route in writing.
  • Keep written replies, submission receipts and current terms; a group-chat answer is not an official decision.

Steps for this specific problem

  1. Compare the approved learning agreement with the courses actually available. Keep module descriptions, assessment rules and both institutions’ written approval of changes, rather than relying on a verbal understanding or a timetable screenshot alone.
  2. Collect the final transcript or traineeship certificate, approved changes and evidence of completion. Ask the home institution which recognition decision and review procedure apply, and distinguish a missing document from a substantive credit-assessment disagreement.
  3. Ask the responsible office to confirm your deadline and accepted correction channel in writing. Check the time zone, upload constraints and evidence of receipt instead of relying only on the date shown in a group message.
  4. Ask the university which alternative documents or late-arrival arrangements it can approve in writing. An academic concession does not automatically change visa or residence deadlines; check both processes separately.
  5. Ask the university for an official record of credits, examination dates or the reason for delay. A student letter does not itself extend residence permission; separately confirm the evidence required by the competent immigration office.
  6. Keep one dated record of submissions and replies. Redact unnecessary personal information when asking for help, and never give group members your passwords, payment credentials or uncontrolled copies of identity documents.

The linked procedure to check

Swiss residence permission is handled through the competent canton, with different EU/EFTA and third-country routes. University admission is not a residence permit; reconcile entry and registration instructions with SEM and the canton. Keep entry permission, permission to remain and local registration separate. Use the checklist for your citizenship and actual study purpose, not another student’s appointment category. Save the submission reference, passport details and course dates in one record. A pending application is not automatically permission to travel, start work or remain after an existing document expires; obtain a case-specific answer from the responsible authority.

A common decision point

Is a screenshot of the replacement timetable sufficient for credit recognition?

A timetable screenshot alone normally cannot establish academic equivalence. Match the module code, level, credits and assessment to the amended agreement. Confirm both institutions’ approval format and change deadline, and retain the final transcript together with approved changes; the competent academic office makes the recognition decision.

Requirements change. Before applying or paying, use the current call at the linked source and obtain the institution's written confirmation.
