Czech Erasmus Visa: What to Do When Accommodation Proof Is Delayed

If your Czech accommodation document is delayed in the post, act before your visa appointment. Contact the issuer and the competent Czech mission, explain the situation and ask which compliant option is available. There is no universal rule promising Erasmus students 30 extra days, acceptance of an incomplete file or an unchanged processing time. A postal tracking record explains a delay; it does not replace required accommodation evidence.

1. Check which accommodation proof fits your case

The Interior Ministry lists several forms: an accommodation confirmation, a lease or sublease agreement, or proof of ownership. Each has its own requirements. A university or dormitory may issue a confirmation; a private rental can require a valid agreement and evidence of the provider's authority. Ask the issuer for the right document rather than assuming that only one particular posted letter is acceptable. Check names, address and relevant dates for accuracy.

2. Paper, certified copies and electronic documents differ

Official guidance accepts an original or certified copy of a valid lease or sublease agreement. A written accommodation confirmation has its own signature rules and exceptions. A scan printed from an ordinary email is not automatically an original or a certified copy. A blue postal mark is not the universal legal test of authenticity: what matters is the applicable document, authorised issuer, required signature or certification and submission method.

3. Do not confuse electronic routes with consular submission

Current Interior Ministry guidance says that an accommodation confirmation for an application filed at a Czech diplomatic mission abroad must be submitted on paper, not electronically. For applications filed within Czechia, official electronic routes can include a provider's appropriate Data Box or email with a recognised electronic signature. Those arrangements are not permission to replace the consular document with an ordinary PDF. Confirm the applicable route with the authority before relying on electronic delivery.

4. An initial incomplete application can be inadmissible

The study-visa instructions require the prescribed form, fee and all legally required documents at submission. If these requirements are not met, the application can be deemed inadmissible and returned. That is different from a refusal after assessment of a complete application. Do not treat the possibility of later supplementation as a guaranteed right to lodge without accommodation proof. Ask the mission in advance what to do about the existing appointment; do not assume either that attendance without the document is harmless or that you should simply miss it.

5. Follow the actual written deadline if one is issued

Once a procedure is underway, additional documents may be submitted, and an authority may issue a request specifying what to correct and by when. Follow that particular notice and the delivery instructions. Where a Ministry-set deadline can be extended, the official guidance requires a request before it expires; explain the reasons and retain evidence. A request is not automatic approval of an extension. Do not substitute a group-chat claim of “15 or 30 days” for your own notice.

6. Practical steps for a delayed or missing shipment

  • Ask the university or housing provider to confirm the document's issue date, address and tracking reference.
  • Discuss a replacement compliant paper document or appropriate certified copy, and realistic tracked delivery.
  • Send the mission a concise query about the appointment and required form, without unnecessary personal data.
  • Retain official replies, submission receipts and your application reference for any later supplement.
  • If timing affects arrival, ask the host university about genuine late-arrival or enrolment options.

Late or defective evidence can affect admissibility and timing. Processing periods can stop running when legally applicable, including suspension; completing the file does not guarantee a decision by the original travel date. Prepare early and follow the competent authority's current written instructions.
