United Kingdom: confirming whether an apostille belongs on an original or certified copy

An apostille, translation and certified true copy perform different functions. What matters is which signature the receiving institution wants authenticated; processing the wrong document or only certifying a copy can remain insufficient even after fees and translation costs have been paid.

Apply the local route to your case

Which document, signature and form of copy does the receiving institution actually require me to authenticate? Undergraduate applicants can apply for up to five courses through UCAS. Postgraduate programmes have their own entry requirements and application procedures, so instructions must be checked on each course website. Match your qualification, target programme and document checklist in one application plan. Before paying for translations or authentication, obtain written confirmation from admissions of the required procedure; academic admission does not replace immigration permission or professional licensing. Treat missing-document requests and conditional offers as separate tasks. Record which office wants each document, the permitted format and the final submission channel. A portal registration alone is not the final admission decision.

  • Use UCAS / Study UK to identify the responsible service and the rules for your actual student category.
  • Match the programme level, prior qualification, language certificate and missing-document submission route in writing.
  • Keep written replies, submission receipts and current terms; a group-chat answer is not an official decision.

Steps for this specific problem

  1. Confirm whether the recipient needs an original, certified copy, authentication or translation. Obtain the instruction applicable to your case before purchasing a document service, because one institution’s format may not satisfy another.
  2. Compare the exact Latin-script name, date of birth and passport number across the passport, portal record and offer. Use the official correction route for discrepancies rather than editing an issued document yourself.
  3. Confirm your citizenship, current residence, programme type and study dates before choosing a visa, permit or appointment category. Another student's route may not apply to your circumstances.
  4. Ask the responsible office to confirm your deadline and accepted correction channel in writing. Check the time zone, upload constraints and evidence of receipt instead of relying only on the date shown in a group message.
  5. If the published response period has passed, send one concise status request with the case reference and practical deadline. Follow the official escalation or review route instead of opening repeated duplicate applications or assuming silence means approval.
  6. Keep one dated record of submissions and replies. Redact unnecessary personal information when asking for help, and never give group members your passwords, payment credentials or uncontrolled copies of identity documents.

The linked procedure to check

For the UK Student route, the licensed sponsor’s CAS and an academic offer letter are different documents. Check your UKVI account and authorised entry start date; an earlier course start does not permit travel before the visa allows. Keep entry permission, permission to remain and local registration separate. Use the checklist for your citizenship and actual study purpose, not another student’s appointment category. Save the submission reference, passport details and course dates in one record. A pending application is not automatically permission to travel, start work or remain after an existing document expires; obtain a case-specific answer from the responsible authority.

A common decision point

Which document, signature and form of copy does the receiving institution actually require me to authenticate?

Show the document and recipient’s checklist before commissioning the procedure, distinguishing originals, certified copies and translations. Do not assume an apostille is compulsory in every country or for every document; verify accepted exemptions and alternatives with the actual receiving office.

Requirements change. Before applying or paying, use the current call at the linked source and obtain the institution's written confirmation.
