Japan: choosing the right permission for exchanges, traineeships and short study

A study exchange, traineeship and short course may follow different application routes. The activity’s duration, content, payment and work element matter more than its promotional name; choosing a category solely because an invitation mentions Erasmus can create inconsistent records.
Apply the local route to your case
Which application category matches the activity, dates and payment arrangements in my invitation? For long-term study in Japan, the Certificate of Eligibility, consular visa and landing permission are separate stages. The Foreign Ministry explains that a visa alone does not guarantee entry. After arrival, changes of activity, school or address can involve Immigration Services Agency and municipal notifications. Match the COE’s institution and personal details to the consular file. Admission does not replace permission to enter or remain. If an appointment or decision is delayed, retain filing evidence and request status from the competent authority. Agree any revised academic arrival date with the institution in writing; an appointment confirmation does not establish travel rights.
- Compare the Japanese consulate / Immigration Services Agency record and applicant identity against the same original documents.
- Ask the competent office about the missing or conflicting requirement using your case number.
- Keep the official reply and filing evidence, then plan the next step against the confirmed condition.
Steps for this specific problem
- Confirm your citizenship, current residence, programme type and study dates before choosing a visa, permit or appointment category. Another student's route may not apply to your circumstances.
- Describe whether the activity is employment, self-employment, a paid placement or a compulsory traineeship. Confirm the rule for that category and your own permission before signing; an employer’s willingness to hire does not establish work authorisation.
- Compare the approved learning agreement with the courses actually available. Keep module descriptions, assessment rules and both institutions’ written approval of changes, rather than relying on a verbal understanding or a timetable screenshot alone.
- Check the destination and every transit country’s rules as well as the carrier’s document checks. Do not treat a filing receipt or pending decision as a travel document; plan the route around the documents actually valid for your circumstances.
- Ask the responsible office to confirm your deadline and accepted correction channel in writing. Check the time zone, upload constraints and evidence of receipt instead of relying only on the date shown in a group message.
- Keep one dated record of submissions and replies. Redact unnecessary personal information when asking for help, and never give group members your passwords, payment credentials or uncontrolled copies of identity documents.
The linked procedure to check
In Japan, EJU, JLPT and an institution’s own examinations are not automatically interchangeable. JASSO directs applicants to check the school’s required exam, EJU subjects and accepted examination session. Undergraduate and graduate applications can follow different document and assessment routes. Confirm an English-taught programme’s conditions directly in the chosen school’s admissions guidelines too. Application, conditional admission and final enrolment are different stages. If records conflict, send the programme office your applicant number, missing item and submission receipt together. Before paying for replacement documents or translations, obtain written confirmation of the record and requirement that apply.
A common decision point
Which application category matches the activity, dates and payment arrangements in my invitation?
Send the invitation, study or traineeship agreement and activity dates together and request written category confirmation. Academic acceptance does not itself settle permission to work or undertake a placement; clarify the correction sequence before replacing an existing application or booking.
Requirements change. Before applying or paying, use the current call at the linked source and obtain the institution's written confirmation.
