Poland: Documenting Learning Agreement changes with both universities when an approved exchange course disappears

Arrival can reveal that an approved course is unavailable, taught in another language or incompatible with the timetable. Registering for a replacement does not automatically amend the Learning Agreement. Keep both institutions’ approval, module content and change date together so later credit assessment uses a consistent academic record.
Apply the local route to your case
Which approvals must I obtain from both institutions, and by when, before replacing an unavailable module? NAWA distinguishes automatically recognised school certificates from those requiring its director’s individual statement for first-cycle or long-cycle admission. Check the category of your issuing country and certificate before applying. Match your qualification, target programme and document checklist in one application plan. Before paying for translations or authentication, obtain written confirmation from admissions of the required procedure; academic admission does not replace immigration permission or professional licensing. Check the application and document record with the named office. If instructions conflict, request a written clarification referring to the current official page, and retain the answer in your file.
- Match your qualification level and application record to the recognition route identified by NAWA / university admissions.
- Ask the university about missing documents, offer conditions and submission deadlines using the same application number.
- Confirm the receiving faculty’s accepted document format before paying for translations or authentication.
Steps for this specific problem
- Compare the approved learning agreement with the courses actually available. Keep module descriptions, assessment rules and both institutions’ written approval of changes, rather than relying on a verbal understanding or a timetable screenshot alone.
- Collect the final transcript or traineeship certificate, approved changes and evidence of completion. Ask the home institution which recognition decision and review procedure apply, and distinguish a missing document from a substantive credit-assessment disagreement.
- Ask the responsible office to confirm your deadline and accepted correction channel in writing. Check the time zone, upload constraints and evidence of receipt instead of relying only on the date shown in a group message.
- Ask the university which alternative documents or late-arrival arrangements it can approve in writing. An academic concession does not automatically change visa or residence deadlines; check both processes separately.
- Ask the university for an official record of credits, examination dates or the reason for delay. A student letter does not itself extend residence permission; separately confirm the evidence required by the competent immigration office.
- Keep one dated record of submissions and replies. Redact unnecessary personal information when asking for help, and never give group members your passwords, payment credentials or uncontrolled copies of identity documents.
The linked procedure to check
University admission, entry permission and permission to remain are separate decisions. Keep a distinct document and validity date for each part of the file. Poland separates the e-konsulat visa stage from the voivodeship student-residence file. Match admission, fees, insurance and means to residence requirements; an appointment booking is not submission. Correct mismatches between the application number, passport and enrolment record before processing advances. When documents are missing, retain the exact official request; obtain an academic-calendar answer from the university and an immigration answer from the competent authority. An acknowledgement of submission is not automatically permission to travel or work.
A common decision point
Is a screenshot of the replacement timetable sufficient for credit recognition?
A timetable screenshot alone normally cannot establish academic equivalence. Match the module code, level, credits and assessment to the amended agreement. Confirm both institutions’ approval format and change deadline, and retain the final transcript together with approved changes; the competent academic office makes the recognition decision.
